  • A non-refundable deposit of 50% of our event planning fee is required at the time that you accept our quotation
  • Payment of your deposit confirms your acceptance of our Terms and Conditions
  • We cannot secure our services or our availability on the event date until this fee has been received
  • On receipt of your deposit a dedicated event manager will be confirmed to attend at your event
  • Every effort is made to ensure that your contact at Linda Abrahams & Co. between contract agreement, and event date, is the same, but in exceptional circumstances a hand-over to another event manager may be required. At all times you would be informed of this and a thorough handover would be completed as required
  • Payment is required in full by no later than 28 days prior to the event
  • Cancellations are charged as follows:

         Less than 100 days prior to the event – 100% of the remaining balance

         If it is less than 180 days prior to the event – 75% of the remaining balance

APPLIES TO ON THE DAY CO-ORDINATION      

  • At all times you are responsible for all suppliers booked at the event
  • You are responsible for all contract negotiation, payments, deadlines, administration and contact between your suppliers
  • Linda Abrahams & Co do not take any responsibility for your suppliers actions, the items they supply or any failure to supply
  • Following confirmation of or services, we will fulfil one event meeting with you prior to the event, to thoroughly discuss and go over the details and arrangements you have made
  • Prior to the event we will attend one event meeting at the venue to ‘walk through’ the day with you
  • You will prepare the running order/ timeline of the event
  • Your event planner will meet with you four/ six weeks before the event to go through the running order that you will have prepared. At this meeting you will hand-over clear instructions for the day of the event
  • Following this hand-over of instructions we will endeavour to point out anything that we feel has been omitted/ we feel could work better, but will not be responsible for anything that you have arranged, or later arises to have failed to be arranged/ ordered by you
  • Additional meetings are chargeable at £50 per hour
  • On the day of the event we would expect to arrive at the venue from around 11am. This is dependent on the event start time, and we will determine the appropriate arrival time based on our role and responsibilities for the individual event
  • On the day of the event we will oversee the set up and installation of all suppliers booked by you
  • On the day of the event we will be the one point of contact for all of your suppliers and will act on your behalf throughout the event
  • Prior to the event you will notify all suppliers that we have been contracted to run the event on your behalf, and that we are authorised to give instruction/ direction to your suppliers on your behalf
  • On the day of the event we will trouble shoot as and when any issues/ queries arise
  • On the day of the event we will check everything is as it should be before your guests arrival, based on the instructions supplied by you
  • On the day of the event we will oversee the running order and timings of the full event until all formalities have been concluded
  • At all times, the running order of the event is used as a guide only, and is subject to all other factors on the day, e.g. guests/ food service/ entertainment etc.
  • On the day of the event we will not be responsible for any timings that over run

APPLIES TO PARTIAL EVENT MANAGEMENT & ON THE DAY CO-ORDINATION  

  • At all times you are responsible for all suppliers booked at the event
  • You are responsible for all contract negotiation, payments, deadlines, administration and contact between your suppliers
  • We do not take any responsibility for your suppliers actions, the items they supply or any failure to supply
  • Following confirmation of or services, we will fulfil one event meeting with you prior to the event, to thoroughly discuss and go over the details and arrangements you have made
  • Prior to the event we will attend one event meeting at the venue to ‘walk through’ the day with you
  • We will meet with you eight/ ten weeks before the event to go through the details of the day and all that you have arranged.
  • Following this meeting we will endeavour to point out anything that we feel has been omitted/ we feel could work better, but will not be responsible for anything that you have arranged, or later arises to have failed to be arranged/ ordered by you
  • Following this meeting we will prepare the running order of the day
  • After this meeting we will become the liaison between all of your suppliers and will be the main point of contact for all final administration and phone calls
  • Additional meetings are chargeable at £50 per hour
  • On the day of the event we would expect to arrive at the venue from around 11am. This is dependent on the event start time, and we will determine the appropriate arrival time based on our role and responsibilities for the individual event
  • On the day of the event we will oversee the set up and installation of all suppliers booked by you

APPLIES TO FULL EVENT MANAGEMENT & ON THE DAY CO-ORDINATION        

  •  We will be responsible for all contract negotiation, payments, deadlines, administration and contact between your suppliers – all contracts will be issued in your name unless requested otherwise
  • We do not take any responsibility for suppliers actions, the items they supply or any failure to supply, but we will complete all reasonable checking with them
  • We will take great care to select suppliers on your behalf that best fit the brief, and where possible will be a responsible source, used previously by us
  • We will fulfil one event meeting with you to thoroughly discuss and go over all of your requirements. We will then attend all other event meetings as required
  • We will prepare the running order of the day

 Privacy

  • Under the Data Protection Act 1998, all data collected is for the sole use of Linda Abrahams & Co, Leeds and we will not use it in any other way unless required by law.

  • We reserve the right to change these Terms and Conditions without notice.
